I've performed at well over a thousand children's birthday parties across Bournemouth, Poole and the wider Dorset area — and I can tell you that the parties that run like clockwork almost always follow the same simple plan. This is the exact checklist I share with parents who want a calm, enjoyable day without the last-minute panic.
1. Start 6 weeks before (seriously — it’s enough)
You don’t need six months. Six clear weeks gives you enough time to book a venue and an entertainer while most weekends are still available. If your child’s birthday falls in school holidays or the week before Christmas, try to aim for eight weeks, because local halls and entertainers fill up fast.
2. Lock in the date and the time of day
Weekend afternoons are by far the most popular slots in Bournemouth. Most families book for 1–3pm, 2–4pm or 3–5pm. Parties after 4pm tend to work better for school-aged children who’ve already had their lunch, whereas younger ones (under-5s) do brilliantly in a 10am–12pm window before the post-lunch slump.
Quick rule: book younger children earlier, older children later. An over-tired four-year-old is nobody’s best friend.
3. Pick the right venue for the right age group
Under-3s do wonderfully at home because they want mum or dad close by. From age 4 upwards, a village hall or community centre gives you space to run, dance and throw a parachute game without worrying about the lampshades.

- Scout and Guide huts (often very reasonably priced)
- Church halls in Talbot Woods, Queens Park and Charminster
- Your own home or garden (great for 10 guests or fewer)
4. Decide on a guest list — and be realistic
A lovely informal rule is “age plus one”. So a five-year-old has six friends. That keeps costs down and keeps the energy manageable. If you’re doing a whole-class invite (very common at reception age), aim for a venue that can comfortably seat 25–30 with space to move.
5. Book your entertainer EARLY
This is where many parents run into trouble. Good local entertainers are booked 6–8 weeks out, and the best ones are booked up to 3 months ahead of school holidays. If you’ve locked in a venue and a date, book the entertainer that same day.
A full party entertainer will normally cover 1.5–2 hours of the party, which means you only need to fill the first 20 minutes (arrivals + drinks) and the last 20 minutes (food + cake + goodbye). That’s a huge relief.
6. Plan food you can actually serve in 15 minutes
Kids don’t want a three-course meal. A proper party plate with a sandwich, a small piece of fruit, a cocktail sausage, a bag of crisps and one sweet treat is perfect. Serve water or juice. Do the cake at the end so parents can take a slice home.
7. Don’t forget the small stuff
- A clipboard with your guest list so you know who’s arrived
- Spare plasters and wipes
- A bin bag for rubbish so the hall stays tidy
- Party bags prepped the night before (not the morning)
- A 'lost property' box for jumpers and shoes that inevitably migrate

- 10:00–0:20 — Arrivals, coats off, free play with quiet music
- 20:20–1:20 — Entertainer / main show and games
- 31:20–1:40 — Food and drinks
- 41:40–1:55 — Cake, Happy Birthday, photo
- 51:55–2:00 — Party bags, coats on, goodbyes

Don't over-complicate it. Most stress comes from trying to do too much. Pick a venue, pick a time, book a good entertainer, keep food simple, and remember — your child will remember one moment and one feeling from the day. Make it a calm, happy one.
